Guided London Tours is operated by Danielle Cohen. I take your privacy seriously and aim to handle your personal information fairly, securely and transparently.

This Privacy Policy explains what personal information I collect, how I use it and the choices and rights you have in relation to your information.

Information I collect

Depending on how you contact me or use my services, I may collect:

  • your name

  • email address

  • telephone number

  • information you provide when making an enquiry

  • information relating to a tour, Experience Day or other booking

  • correspondence relating to quotations and bookings

  • payment and transaction information

  • your first name and email address if you choose to join my mailing list

  • limited technical information relating to your use of this website

I do not receive or store your full debit or credit card details. Card payments made through Square are processed securely by Square.

How I use your information and my lawful basis

Enquiries and quotations

If you contact me about a possible tour, Experience Day or other service, I use the information you provide to answer your enquiry and prepare a quotation or proposal.

My lawful basis is normally taking steps at your request before entering into a contract.

Bookings

If you make a booking, I use your information to organise and provide the service you have booked, communicate with you about arrangements and manage your booking.

My lawful basis is performance of our contract.

Business and financial records

I may retain information relating to bookings, invoices and payments where this is necessary for accounting, taxation or other legal requirements.

My lawful basis is compliance with a legal obligation.

Marketing emails

If you choose to join my mailing list, I use your first name and email address to send occasional news, tour dates, Experience Day information and London stories.

My lawful basis for this marketing is your consent.

Submitting a general enquiry or making a booking does not automatically add you to my marketing mailing list.

Mailing list and Brevo

My mailing list is managed using Brevo.

When you join the mailing list, you are asked to provide your first name and email address and actively agree to receive marketing emails.

I use a double opt-in process. This means you must confirm your subscription by clicking the link in a confirmation email before you are added to the mailing list.

You can unsubscribe at any time using the unsubscribe link contained in marketing emails.

I may retain limited information about an unsubscribe request so that I can respect your preference and avoid accidentally sending you further marketing.

Payments and Square

Online payments may be processed using Square.

When you use a Square payment link, Square processes the payment information required to complete your transaction. I may receive information such as your name, transaction details, payment status and amount paid, but I do not receive your full card details.

Square processes payment information in accordance with its own privacy and security policies.

Website and Squarespace

This website is hosted by Squarespace.

Squarespace may process technical information needed to operate and protect the website and may provide website analytics. This may include information such as device type, browser information, IP address and how visitors interact with the site.

Cookies

This website uses cookies and similar technologies necessary for the website to function.

It may also use analytics or other non-essential cookies. Where consent is required, visitors will be given an opportunity to manage their choices through the website's cookie settings or cookie banner.

Who I share information with

I do not sell your personal information.

Where necessary to operate my business, personal information may be processed by trusted service providers, including:

  • Squarespace — website hosting and website services

  • Brevo — mailing-list management and marketing emails

  • Square — payment processing

  • email, accounting and other administrative service providers where required

I only share information where there is a legitimate business or legal reason to do so.

Some service providers may process personal information outside the UK. Where this occurs, appropriate safeguards for international transfers must be used.

How long I keep your information

I do not keep personal information for longer than I reasonably need it.

As a general policy:

  • Enquiries that do not become bookings: normally retained for up to 12 months after the last meaningful contact.

  • Booking and financial records: retained for the period required for accounting and tax purposes. For self-employed UK tax records this will normally be at least five years after the relevant 31 January tax-return filing deadline.

  • Mailing-list information: retained while you remain subscribed. If you unsubscribe, limited information may be retained as necessary to record and respect your opt-out.

Information may sometimes be retained for longer where there is a legal requirement or a genuine need relating to a dispute or legal claim.

Your rights

Depending on the circumstances, UK data-protection law may give you rights including the right to:

  • request access to personal information I hold about you

  • ask me to correct inaccurate information

  • ask me to delete information in certain circumstances

  • ask me to restrict how information is used

  • object to certain uses of your information

  • withdraw consent where processing is based on consent

If you withdraw consent to marketing, this does not affect the lawfulness of anything done before you withdrew it.
